One of the most memorable experiences when visiting a city is sometimes the
food. Many meeting planners want to capitalize on the local favor of a city and offer a Dine-Around to their group. So, exactly
what is a Dine-Around? A Dine-Around is splitting a group into smaller groups with each one going to a different restaurant
on the same evening. Generally speaking, Dine-Arounds are designated to give guests a public dining experience within the
restaurant proper. However, Dine-Arounds can be customized to meet the needs and objectives of your group.
Corporations often request private areas for their groups and might assign guests to restaurants by region. Associations,
on the other hand, typically request general dining areas and allow guests to sign up in advance and choose the restaurant of their
choice. In addition, there are also groups who request Progressive Dinners where a group might experience the cuisine of two
or three unique restaurants in a single evening.
When coordinating a Dine-Around it is important to know your goals,
expectations, and budget. Be specific as possible by providing answers to some of the following questions. Approximately how many
guests will participate in the Dine-Around? How many restaurants should be offered? What types of restaurants should be offered
i.e. local, chain, trendy, restaurants with a view? What price range? Would you like public or private areas in the
restaurant? What is the timetable for the Dine-Around? Are there any functions immediately following the
Dine-Around that guests are expected to attend? How will guests get to the restaurant? Should the restaurants
be within walking distance of their hotels? Should alcoholic beverages be included in the price? Should
gratuities be included in the price? How should billing be handled?
A DMC can provide many services to enhance your Dine-Around.
Some services include providing menus and descriptions of all restaurants that fit within your event budget and objectives, creating bar
packages or pre-selecting wines and/or pairing wines with each course and pre-selecting menus. DMC’s can plan seating
configurations and select tables where guests will dine, handle event timing, advance each restaurant and ensure proper set-up.
While on-site, the DMC staff can review the menu and billing with the restaurant staff. Then, a DMC can create a
single contract and payment system for all the restaurants in your program. A good DMC should provide meeting planners with a
number of options in event logistics and create the best package based on your specific needs.

The key to any successful event are achieving the event goals, anticipating
any challenges and planning for them accordingly. One of the best ways to ensure quality Dine-Arounds is to arrange restaurants
that are equal in stature and offerings. This can be creatively accomplished by creating a theme such as newest/oldest restaurants
in town, restaurants with the best view or restaurants with the most interesting architecture. Be sure at each restaurant to offer
at least three entrees choices. This aids the restaurant with their service and it also provides options for guests who may
have special dietary needs such as vegetarians. KE&HMG only recommends restaurants, which consistently reflect our professional
criteria.
KE&HMG always looks for creative ways to enhance the guests’
experience. Some ideas KE&HMG has used in the past include providing custom menus with the group’s logo, providing special
centerpieces for tables, providing special entertainment at the restaurant and delivering personal invitations and menus to guests’ hotel
rooms the night before the dinner. For a special touch, KE&HMG can coordinate in advance with all restaurant servers your VIP's
preferences for food and drink. Another idea that works great for VIP's is to arrange special dinners in the kitchen of the
restaurant with the chef.
KE&HMG recommends providing transportation for Dine-Arounds because it
ensures better service for guests and maintains event timelines. Key solutions for creative transportation include transporting
guests by limousine or trolley for their Dine-Around. For a budget conscious group, KE&HMG arranged for restaurants in the
Dine-Around to be within walking distance and provided a staff member to walk each group to their designated restaurant. A
good DMC will always provide meeting planners with a detailed schedule of services for each event, which outlines all event details ranging from how
the group will be gathered in the hotel lobby to board buses to how payment at the restaurants will be handled. KE&HMG has
successfully coordinated transportation for 2,000 people for Dine-Arounds using 30 different restaurants. The Dine-Around
possibilities are endless and by working with a DMC, you can create successful Dine-Arounds for your group. |
